1. Our commitment to your privacy
Northbridge Chiropractic ([LEGAL ENTITY], ABN [ABN]) respects your privacy. We follow the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
This policy explains what personal information we collect, why we collect it and how we look after it. It applies to our clinic, our website (northbridgechiro.com.au), our booking and landing pages (including book.northbridgechiro.com), our emails and text messages, and our social media pages.

2. What we collect
We only collect what we need. What we collect depends on how you deal with us.

  • When you visit our website or landing pages, we may collect device and browser type, IP address, pages viewed, links clicked and similar details collected through cookies.
  • When you  send an enquiry or fill in a form, we may collect your name, email, phone number and anything you tell us in your message
  • When you respond to one of our ads, we may collect details you choose to send through the ad form, such as your name, email and phone number
  • When you book an appointment, we may collect your name, contact details, date of birth and preferred appointment time
  • When you attend the clinic, we may collect health history, reason for your visit, assessment and treatment notes, any imaging, emergency contact, health fund details and payment records

We do not store your full card details. Card and health fund payments are processed through secure payment systems, such as Tyro.

3. Health information
Health information is sensitive information under the Privacy Act and gets extra protection.

We collect health information only with your consent, and only when we need it to care for you. You can choose not to give us some information. If you do, we may not be able to give you the care that suits you best.

Please do not send detailed health information through our website forms, landing page forms or social media messages. It is better to share it with us at your appointment or by phone.

4. How we collect it
We collect most information directly from you: in person, by phone, by email and through our online forms and booking pages.

We may also collect information:

  • through online booking services, such as PracSuite, when you book an appointment
  • through advertising platforms, such as Facebook and Instagram, when you send us your details through an ad form
  • from another person, with your consent, such as your GP, another health practitioner or your health fund
  • from a parent or guardian, if the patient is a child
  • automatically, through cookies and similar tools, when you use our website or landing pages.

5. Why we collect and use it
We use your information to:

  • provide chiropractic care and manage your appointments
  • reply to your enquiries and follow up on booking requests
  • send booking confirmations and reminders by email or text
  • process payments, receipts and health fund claims
  • send you health education and clinic updates, if you have agreed to receive them
  • understand how people use our website and landing pages, so we can improve them
  • measure how well our ads work
  • meet our legal and professional obligations.

We do not sell your personal information.

6. Staying anonymous
You can browse our website and ask general questions without telling us who you are. We do need to know who you are to book an appointment or provide care.

7. Who we share it with
We share personal information only when there is a good reason to. This may include:

  • service providers who help us run the clinic, our website and our landing pages, such as PracSuite (bookings and patient records), Healthengine (online bookings), GoHighLevel (landing pages, forms, emails and text messages), Google and Meta (website analytics and advertising), Tyro (health fund claims), and our website host, IT support and accountant
  • other health practitioners involved in your care, with your consent
  • your health fund, Medicare or insurer, when needed for a claim
  • regulators, courts or government bodies, when the law requires it
  • another person or service, if we reasonably believe it is needed to prevent a serious threat to someone’s life, health or safety.

We ask our service providers to protect your information and use it only for the job we have given them.

8. Information stored overseas
Some of our service providers store information on servers outside Australia, mainly in the United States. We take reasonable steps to make sure they handle your information in line with the Australian Privacy Principles.

9. Cookies, analytics and advertising
Our website and landing pages use cookies and similar tools, such as Google Analytics and the Meta Pixel. They help us see how the pages are used and show our ads to people who may find them useful.

These tools do not tell us your name. We never share your health records with advertising platforms.

You can block or delete cookies in your browser settings. Some parts of our pages may not work as well if you do.

Google, Facebook, Instagram and our booking services also collect information under their own privacy policies when you use them.

10. Emails and text messages
If you send us an enquiry or book through our landing page, we may contact you by email, phone or text about that enquiry and your booking.

We send health education and clinic updates only if you have agreed to receive them. You can opt out at any time by using the unsubscribe link in any email, replying STOP to a text message or contacting us.

Opting out of updates will not stop messages about your appointments.

11. Automated decisions
We do not use computer programs to make decisions that could significantly affect you. Some messages, such as booking confirmations and reminders, are sent automatically.

12. How we store and protect your information
We keep information in secure electronic systems and, in some cases, on paper in the clinic. We protect it with measures such as passwords, limited staff access and secure storage.

We keep patient health records for at least 7 years after your last visit. For patients who were under 18, we keep records until they turn 25. When we no longer need information, we securely destroy it or remove the details that identify you.

No system is perfectly secure. If a data breach is likely to cause you serious harm, we will tell you and the Office of the Australian Information Commissioner, as the law requires.

13. Seeing and correcting your information

You can ask to see the personal information we hold about you, or ask us to correct it. Contact us using the details below. We may need to check your identity first.

We will respond within 30 days. Making a request is free. We may charge a reasonable fee for copying or sending records. If we cannot give you access or make a change, we will explain why in writing.

14. Children
If a patient is under 18, we usually collect information from a parent or guardian and involve them in decisions about care, in line with the law and our professional duties.

15. Privacy questions and complaints
If you have a question or concern about your privacy, please contact our Privacy Officer first. We take complaints seriously and will reply within 30 days.

If you are not happy with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

16. Changes to this policy
We may update this policy from time to time. The latest version will always be on our website, with the date it was last updated.
